Introducing Gaze Workplace Intelligence

Gaze Workplace Intelligence gives organisations a clear, real-time picture of how their offices are actually used and the analytical tools to act on it.

Our service is designed for organisations navigating change, whether that's in their hybrid working strategy, a change in headcount, a right-sizing exercise to cut unnecessary cost, or preparing to relocate.

Our sensors monitor how every part of the office is used; workstations, meeting rooms, quiet booths, and open collaboration and social areas all without collecting any personal data.

A client-facing live dashboard gives workplace leaders an accurate picture of office use at any point in time. Our AI analytical tool translates that data into forward-looking recommendations, modelling future scenarios so leaders can plan space, headcount, and costs with evidence rather than assumption.

Initial Consultation

We start every engagement the same way by listening. Before we recommend anything, we want to understand your workplace, your working patterns, and your primary objectives. That conversation shapes everything that follows; what we measure, how we report it. Most clients tell us that the initial consultation alone surfaces questions they hadn't thought to ask.

Office Survey

Before sensors are installed, one of our workplace specialists will carry out a physical survey of your office. We map every work setting; desks, meeting rooms, quiet booths, open collaboration and social areas, against your floor plan, so that the data we collect is accurate, complete, and immediately useful from day one. The survey also gives us a clearer picture of how your space is configured today, which often adds useful context to the utilisation data once monitoring begins.

Sensor Install

Our sensors are primarily ceiling-mounted and installed by our team out of hours so there is no disruption to your working day. We work closely with your facilities team to coordinate access and ensure the install goes smoothly. Once installed, sensors go through a short calibration and setup period before your live dashboard is ready to use.

Live Dashboard Reporting

A secure, client-facing dashboard brings all your occupancy data together in one place, updated in real time, including

  • Office attendance patterns

  • Workstation utilisation

  • Meeting room utilisation

  • Open collaboration and social area utilisation

AI Analysis/Recommendations

Once your live dashboard is active and sufficient data has been collected, our AI analytical tool gets to work. It moves beyond describing how your office is used today, using that data to model future scenarios — whether that's a reduction in headcount, a change in hybrid attendance patterns, or a proposed change to your space configuration. The output is a set of clear, practical recommendations that give your leadership team a solid foundation for decisions about space, cost, and workplace design translated into next steps that are relevant to your objectives.

Frequently Asked Questions (FAQs)

Badge data tells you who entered the building. Booking data tells you who intended to use a room. Neither tells you what actually happened inside your space.

Gaze fills that gap: continuous, floor-level occupancy intelligence across open areas, collaboration zones and focus spaces. The strategic layer Gaze provides then helps you interpret what that data means for your lease position, design brief, or hybrid policy. It is not a replacement for your existing tools; it is the layer that makes them meaningful.

Gaze covers the full spectrum: open-plan work areas, meeting rooms of all sizes, collaboration zones, focus pods, social spaces, and building entry and exit points. Sensor selection is matched to the space type and coverage area — there is no one-size-fits-all configuration.

We scope the sensor mix with you before deployment so you are measuring what actually drives your decisions.

No one can - including Gaze. Sensors record only anonymous spatial coordinates. No images are ever captured, stored, or transmitted. All processing happens on the device itself; nothing that could identify an individual ever leaves the sensor.

Yes. Because our sensors capture only anonymous coordinates — no personally identifiable information. The system is designed to be compliant with privacy legislation across New Zealand.

No PII is ever captured or stored. We can provide a technical privacy fact sheet for review by your legal or compliance team prior to deployment.

Sensors are mounted overhead, typically ceiling-mounted, and connect via Power over Ethernet (PoE), which means no batteries and no maintenance program. Most deployments are completed within a day, with no disruption to normal operations.

We work with your IT and facilities teams before deployment to confirm connectivity, network configuration, and data pathways. The scoping conversation usually takes less than an hour.

Most occupancy platforms sell you data and leave you to interpret it. Gaze is a strategist-led service. The sensors and dashboard give you continuous visibility; the periodic strategic reviews translate what the data is telling you into accommodation decisions.

That means you are not buying a tool that requires headcount to operate. You are buying intelligence, the data, and the expertise to act on it. For property and workplace teams who are already stretched, this is a meaningful distinction.

No. That is the Gaze model. A strategist, not a software subscription, sits behind the data. Your live dashboard gives you continuous visibility, and Gaze's periodic strategic reviews translate what the data is telling you into accommodation decisions.

You get intelligence, not just information. The difference matters when you are heading into a lease negotiation, a fitout brief, or a board conversation about your real estate footprint.

A point-in-time study gives you a snapshot, typically across one or two weeks, that may not reflect a typical period, and is immediately out of date the moment the report is delivered. Gaze provides continuous sensing, which means you are always working from current data.

You can see how occupancy shifts with a new hybrid policy, a seasonal change, or a floor reconfiguration in real time, not retrospectively. That ongoing baseline is what makes lease decisions, fitout briefs, and headcount planning genuinely data-driven rather than gut-feel with a number attached.

Live occupancy data flows into your Gaze dashboard within 24-48 hours of sensor activation. Trend analysis, the kind you can take to a business case, typically becomes meaningful at the eight-to-twelve-week mark, though the continuous baseline begins building immediately.

For clients with an imminent lease event or board presentation, we can design the sensing programme to prioritise the data points most relevant to that decision.
